Managing Templates
Day-to-day housekeeping for document templates: reading their status, the actions available, storage, and what happens when you delete things.
The Documents Tab at a Glance
Each template on the Documents tab shows its name, a status badge, and a row of actions.
| Action | What it does |
|---|---|
| Generate | Fill the template from a row and download the result (Word templates only) |
| Download | Get the editable template to tweak in Word (Word only) |
| Replace | Swap in an edited copy, keeping mappings (Word only) |
| Configure | Map placeholders to database fields |
| Delete | Remove the template and its files |
Status Badges
A template moves through a short lifecycle, shown as a badge:
| Status | Meaning |
|---|---|
| uploaded | The file is stored but not yet processed. |
| parsed | Ascend has read the document's text and structure. |
| tagged | Placeholders have been mapped to fields. |
| ready | Good to generate. |
A "tagged" template still generates
You don't have to wait for "ready". Any Word template can be generated — if it hasn't been fully tagged, Ascend tags it on demand the first time you generate (using your saved mappings where possible, and AI only if needed).
Storage
Document templates count toward your team's storage allowance, like any other uploaded file. Each template stores its source document (and, for Word templates, a tagged copy used for generating).
- Generated documents you download are produced on demand — manage your own copies once downloaded.
- Deleting a template frees its storage and updates your usage.
See your plan's storage allowance for limits.
Deleting
Deleting a template
Click Delete on the Documents tab. This removes the template and its files from storage and updates your storage usage. The linked database, its rows, and any documents you've already downloaded are not affected.
Deleting a database
When you delete a database, its document templates are deleted with it — rows, files, and storage usage are all cleaned up automatically. A template can't generate without its database, so it isn't left behind as an orphan.
Deletes are permanent
There's no trash for templates or their files. If a template took effort to build, download a copy before deleting it or its database.
